EMPLOYMENT
NEW EMPLOYEE ORIENTATION
EFFECTIVE DATE: APRIL 23, 1996

Purpose

To provide new employees with basic information about the terms and conditions of their employment, to acquaint them with their benefits package, and to enroll them in the benefit programs to which they are entitled.

Application

All employees hired on Regular appointments will receive orientation.

Reporting for Orientation

All new employees should report to the Human Resources Office on their first day of work for orientation. The following documents must be presented before the employee will be allowed to report to his or her work station:

  1. Social Security Card (must be valid for employment)
  2. One of the following items:
    United States Passport
    Certificate of U.S. Citizenship
    Certificate of Naturalization
    Unexpired foreign passport with Employment Authorization attached
    Alien Registration Card

This information will be used to complete and certify the Employment Eligibility Verification (Form I-9), which is required to begin employment. Copies of these documents will be placed in the employee's personnel file.

Orientation Kit

Each new employee will receive an orientation kit which contains basic information about the University, a campus map, employee handbook, organizational chart and payroll schedule. The kits also include all of the documents and forms which the employee will be required to complete. Each form will be explained and assistance provided in completion .

Orientation to Conditions of Employment

The new employee will be given a general description of the terms and conditions of his or her employment, including the following:

  • Hours of Work
  • When, where, and to whom he or she reports
  • Attendance Reporting
  • Payroll periods and Pay Days
  • Required and Voluntary Deductions
  • Leave Benefits and Holidays
  • Probation and Performance Evaluation

Orientation to Benefits Package

The new employee will be given a description of the benefits package to which he or she is entitled, including the following:

  • Group Health and Life Insurance
  • Retirement Programs
  • Credit Union
  • Leave
  • Tuition Benefits
  • Worker's Compensation

See Section [Benefit Schedule] for a full description of the benefits available to the various employment categories. Enrollment forms will be provided, as well as assistance in completing them. Employees are urged to complete the forms at the time of orientation to avoid any delays in enrollment.

On-the-Job Orientation

It is the responsibility of the Department Head to provide additional orientation for the new employee. The Department Head, or his or her designee, should undertake to do the following:

  1. Introduce the new employee to the office staff, and explain each persons function in the office.
  2. Give the new employee a tour of the building, pointing out offices, restrooms, bulletin boards, fire escapes, alarms, etc.
  3. Review office rules and procedures.
  4. See that the new employee is fully aware of the names and positions of employees in other departments with whom he or she may come in contact.
  5. Answer any questions that the new employee may have about the work environment.

Once the employee has been introduced to the work environment, the Department head may initiate on-the-job training for them. If the training is being done by someone other than the Department Head, he or she should make every effort to monitor the progress of the new employee and to be available for questions.

New employees who have questions about any aspect of their employment are encouraged to contact the Human Resources Office immediately for assistance.
